What does the Congress Fee include?

All prices do not include VAT 21%. The venue of the educational event is the Czech Republic = no transferred VAT obligation within the EU applies.
The organiser of the ETCC 2026 Congress is FATIPEC and the Czech Chemical Society. The event is organised by CHEMAGAZÍN s.r.o. - a publisher and event organiser in the field of chemistry.
The registration and payment system for the congress is managed by AMCA s.r.o.

Cancellation Policy
Refunds in case of the cancellation before 15.6.2026:
● 50 € handling fee in case of withdrawal before May 1, 2026.
● 50% refund minus 50 € handling fee in case of withdrawal between May 1 and May 31, 2026.
● 100% refund minus 50 € handling fee in case of withdrawal between June 1 and June 15, 2026.
● No refund from June 16, 2026 or registered participants who fail to attend.
Whatever the date no refund of Summer School or Gala Dinner.
Notification of cancellation must be made in writing and sent to the ETCC2022 Registration Department by e-mail. The notification must include all relevant information regarding the bank account to which a possible refund may be remitted. Refunds will be made in the same form as the original transaction. For original payments made by bank transfer, the cancellation notification or refund request must indicate all relevant information regarding the bank account to which a possible refund may be remitted. Credit will not be given for unattended events or early termination of attendance. Requests for refunds of any additional items ordered (such as the Summer School and the congress dinner) will not be accepted.
In the case of overpayment or double payment, refund requests (including all relevant information regarding the bank account if applicable) must be made in writing and sent by e-mail, no later than June 15, 2022. A handling fee of EUR 50 will be charged. The refund will not be effective until a written acknowledgment from the Congress Organisers is received. The terms of cancellation are applicable in all circumstances, including if a visa is officially refused to the participant and/or accompanying person. We strongly advise all participants to start their visa application as early as possible in order to avoid disappointment.
Changing a participant's name
A name change fee of 50 € will be charged for every name change to an existing registration. A new registration form for the substitute delegate should NOT be submitted. Name changes will be accepted by e-mail and should indicate the old and new names and any changes in contact information. In case of a name change, the delegate agrees to take over all booked items of the originally registered delegate.
Cancellation of the Congress
In case the ETCC 2026 could not be held or should be postponed due to events beyond the control of the Congress Organisers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the Congress Organisers, the congress organisers cannot be held liable by delegates for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, costs for additional orders, financial losses, etc. Under these circumstances, the Congress Organisers reserve the right to either retain the entire registration fee and to use it for a future congress, or to reimburse the delegate after deducting costs already incurred for the organisation of the congress.
Visa Application
Citizens from some countries may require a visa to come to the Czech Republic (EU).
The detailed information concerning visa requirements is available at Ministry of Foreign Affairs HERE.
It is the sole responsibility of the attendee to take care of his/her visa requirements. Attendees who require an entry visa must allow sufficient time for the application procedure. Attendees should contact the nearest embassy or consulate to determine the appropriate timing of their visa applications. It is recommended to apply for a visa at least 2 months in advance of the ETCC 2026.
Invitation letter for visa application: Congress Organisers will only provide invitation letters for visa for registered participants. You can request to receive a visa invitation letter during the online registration process, please have your passport details at hand. Once your registration and payment will be successfully finalized, the invitation letter will be sent to your email as a PDF file upon providing all the required information within 10 working days at the latest.
However, should the embassy require an original invitation letter, we can deliver it by two following ways:
1) Regular post – free of charge, however, the delivery cannot be guaranteed as there is no way to track the delivery. Congress Organisers shall not be held responsible or liable for any delay or failure in delivery.
2) Express delivery service (FedEx, DHL) – the fee shall be covered by the participant in advance, together with the congress fee. The express delivery fee is 30–60 €, depending on country of delivery. The organiser strongly recommends using this option as it is faster and enables the delivery to be tracked (using a tracking number).
The invitation letter should be presented to the embassy of the Czech Republic in your country in order to receive a Visa for the Congress.
In case of a visa request rejection, the full registration fee will be only refunded upon receipt of the official refusal document from the Embassy. A fee of 50 € will be charged and deducted from the prepaid congress fee.
The letter of invitation does not financially obligate the Congress Organisers in any way, nor does it guarantee an entry visa to Poland. All expenses incurred in relation to the congress are the sole responsibility of the delegate.
The Congress Organisers and/or the ETCC 2026 Registration Department will not directly contact embassies and consulates on behalf of delegates.
